Whether you're running a small club or managing a larger organisation, having a proper email address makes a real difference — to how parents see you, how partners take you seriously, and how you come across to everyone you work with.

We've designed MailbyBMABA to be simple, secure, and genuinely useful. No complicated setup, no jumping between different systems. Just professional email that works.

For years, many of our members used a standalone email platform hosted at martial.email. It worked, but it meant managing yet another login, another system, another thing to remember. And as security requirements have grown, keeping everything joined up has become more important than ever.

So we've brought it all home. MailbyBMABA now lives inside MyBMABA, which means:

If you were using the previous martial.email platform, don't worry — your email address and login details stay the same. But we'd encourage you to get in touch with our team as soon as possible so we can migrate your domain into MailbyBMABA properly. That way you'll benefit from all the new features and improvements.

MailbyBMABA comes in a few different flavours depending on what you need.

Free Professional Email – available to all members. You get a proper email address on one of our martial arts domains (like [email protected]). It's instant to set up, looks professional, and costs nothing.

Connect External Email (Gold) – if you already have another email account you want to keep using with an existing website, Gold members can connect it to MailbyBMABA. You get to use our interface and features while keeping your existing address, and retaining the emails on your current host's server.

Custom Domain Hosting (Gold) – this is the full package. Host your club's email with us and get addresses like [email protected], [email protected], and so on. You can create up to 10 mailboxes, each up to 1GB. There's also a free migration tool, and you can setup email forwarding and spam rules.

Head to MyBMABA → Inbox and you'll see your options. First-time users get a quick tour that walks you through everything, but here's the basics:

If you're setting up a custom domain, you'll need to update some DNS records with your domain provider. Don't panic — we show you exactly what to add, and our team is always happy to help if you get stuck.

Once you're in your inbox, here's what you'll see:

The sidebar (left side) has your account switcher at the top — click your email address to switch between accounts if you have more than one. Below that is the Compose button for new emails, then your folders (Inbox, Sent, Drafts, Junk, etc.), and at the very bottom you'll see your storage quota and a settings cog.

The main area shows your email list on the left and the email you're reading on the right. Click any email to open it. Right-click for quick actions like reply, forward, archive, or move to a folder.

The search bar at the top lets you find any email by name, subject, or keyword.

Click your email address at the top of the sidebar to open the account menu. From here you can:

Click the cog icon in the bottom-left of your sidebar (or find it in the account menu) to open Settings. Here's what's inside:

Email Signature – create a professional signature with your name, role, phone number, website, and social links. It gets added automatically to every email you send. We'd really recommend setting this up first — it makes such a difference to how your emails come across.

Canned Replies – these are pre-written email templates you can insert with a quick shortcut. Set up replies for common questions, booking confirmations, or anything you find yourself typing over and over. When you're composing an email, just type # followed by your shortcut name and it'll drop right in.

Undo Send Delay – gives you a few seconds to cancel an email after hitting send. We've all had that "oh no" moment — this saves you from it.

Notifications – turn on sounds for new mail, or enable browser notifications so you never miss anything important.

Display – choose between comfortable and compact views depending on how much you want to see on screen at once.

These are features you won't find in most email platforms, and they're genuinely useful for staying organised.

Notes – when you're reading an email, you can add private notes that only you can see. Use them for reminders, follow-up actions, or anything you want to remember about that conversation. They're stored in MailbyBMABA, not in the email itself, so the person you're emailing won't ever see them.

Tags – colour-coded labels you can apply to any email. Great for categorising things like "Safeguarding", "Finance", "Events", or whatever makes sense for how you work. Right-click any email to tag it, or do it from the email view.

You don't have to use the MailbyBMABA web interface — your email works with any standard email app.

Click Device Setup in your account menu (or find it in the dropdown) and you'll see all the settings you need:

We've included instructions for common apps like iPhone Mail, Outlook, and Android, but the settings work with any email client that supports IMAP/SMTP.

If you've got a Gold membership, you can host your club's email on your own domain. Here's how it works:

You can create up to 10 mailboxes per domain, plus unlimited forwarders. A forwarder is handy when you want an address like [email protected] to forward to your main inbox without needing a separate login.

Email Migration – if you're moving from another email provider and want to bring your old emails with you, we've got you covered. The migration tool connects to your old account and copies everything across, so you don't lose any history.

This is your hub for managing everything beyond day-to-day emailing. Access it from your account menu.

For free email users, you can manage your account settings and password.

For custom domain users, you'll also see:

Set up your signature first – seriously, do this before anything else. It takes two minutes and makes every email you send look more professional.

Use canned replies for repetitive emails – if you find yourself typing the same response to "what time is the kids' class?" or "how do I book a trial?", save it as a canned reply. Future you will thank past you.

Try the keyboard shortcuts – press C to compose, R to reply, F to forward. Much faster once you get used to them.

Keep an eye on your quota – the storage bar at the bottom of the sidebar shows how much space you're using. If you're running low, archive or delete old emails with large attachments.

Right-click is your friend – nearly everything has a right-click menu with quick actions. Try it on emails, folders, even attachments.
