The Hub

The Hub is where everything you hold with BMABA lives: your membership, your club, your team, your students, your grades, your insurance, your checks and your compliance. It replaced the old member portal in September 2026. It is not the old portal moved around; it was rebuilt from the ground up so that things which used to be scattered across MyBMABA sit together in one place.

Open it at mybmaba.org.uk/hub. It works on a phone as well as a desktop, and the browser tab tells you which page you are on.

This guide walks through every page in the left hand menu, in the order it appears, and explains what each one does and how to use it. Where a feature only applies to some people (for example, a lead instructor rather than an assistant), the guide says so.

Which account am I in?

There are three kinds of login you might use, and the Hub behaves differently for each.

  • Lead instructor. The chief instructor of a club. Sees and manages everybody registered under them, all their clubs, all their students, the grade register, insurance, DBS checks and the control panel.

  • Instructor, assistant instructor or volunteer. Sees their own membership, compliance, documents, CPD and checks, and can buy their own DBS or PVG. Assistant instructors also see the Instructor Training Pathway.

  • Management account. A separate login held in the organisation's name, sitting above one or more lead instructors. It has full visibility and control over everything beneath it: every club, instructor, assistant, volunteer, student, licence and allowance. It holds no membership, insurance or compliance of its own. When you are signed in as a management account, a blue pill at the top of every page says so; click it for an explanation.

If you are a lead instructor and your club sits under a management account, a blue bar under the page heading tells you, names the account, and explains that records you cannot see are probably held there. Log out and log back in with the management login to reach them. That bar can be hidden for a week at a time.

Overview, the dashboard

The dashboard is the page you land on. It is built to show what needs you first, then what you came for, then everything else.

Across the top

Three short cards.

  • Spotted a bug? Report anything broken, confusing or not working well. For each major bug found, every account holder who reported it receives a £5 thank you. Ideas and suggestions are very welcome but are not bugs; those go on the community roadmap, which has its own button.

  • Trees planted. Every membership funds tree planting through Ecologi. The island shows the live count, the carbon avoided, and the people given clean water through our charity: water partnership. "See our forest" opens our Ecologi profile; "See our impact" opens the carbon neutral page on bmaba.org.uk.

  • Have you made the most of your membership? A full technology stack is included with membership and most clubs never ask. "Learn more" explains it: redesign, migrate or build your website; keep your site and use us for domains, security, audits and SEO; and run the club with the management platform, billing and payments, and Flo, our no code builder. It carries direct links to each, and "Talk to us" starts a chat where you can say what you have and what is missing so we can size up what would help.

Attention

If any of your records have expired, a red row says so with a link to the compliance diary. If nothing has, there is no strip at all.

Your membership, documents and proof of cover

The four tiles

Membership status, RegulationReady score, Club Colours status and Compliance. Each is clickable and coloured by state: green for active or all clear, amber for review soon, red for action needed. Compliance opens the compliance page scrolled to the diary.

The modules

  • Compliance diary. The next four records falling due within ninety days, with the number of days left. "Open the diary" takes you to the full diary.

  • DBS and PVG. If you have a check in progress, the module says so and shows its stage. When the application is yours to complete, the stage reads With you in amber and the link says "What to do". A lead or management account also sees their team's checks by stage.

  • Your clubs. Every club you run or oversee, with its CLU number, whether it is your default club, who runs it if it sits beneath you, and its RegulationReady and Club Colours state as clickable labels that open that club's page.

Your club, or your organisation

Anyone who runs a club sees a grid of tiles for every page they can open, with a line describing each.

Your CPD

A horizontal row of course tiles: in progress in blue with a progress bar, completed in green, and suggested with a dashed edge for courses included with your membership tier that you have not started. "All courses" opens the CPD catalogue.

The Instructor Training Pathway

Assistant instructors see a card for the ITP. If you are enrolled it shows your status, tier, discipline, mat hours and sessions taught. If you are not, it explains the pathway and links to it.

My membership

Your own record: account details, how we reach you, your documents, your insurance and your certificates. This is where to download proof of membership and proof of cover to show a venue, a parent or another organisation. It is also where monthly payments are managed, where a membership can be renewed, and where an instructor can upgrade or, if they must, cancel. Everything here is about you personally; club matters live on the club pages.

My compliance

Every record we hold for you (DBS, first aid, safeguarding, insurance, qualifications and so on), its state, its expiry, and what to do about each. Leads see "Compliance" and can see their team's records too.

The compliance diary

Further down the page, the diary lists everything falling due in date order, with the days left. It is the one place that lists your records, so anything that changes about our checks, terms or the CRM is reflected here once. The dashboard's Compliance tile and diary module both land here.

Evidence

Where a record needs evidence, you can send it from here. "Some of your evidence is with us" means it has arrived and is being verified; "Everything else" lists what remains.

Club dashboard

Your club records, one card per club. If you run more than one club, each has its own card and you can switch between them with the pills at the top of the Club Colours and RegulationReady pages.

The club card

Name, CLU number, logo, legal structure, registered name, contact details and address (editable), the designated roles (Designated Safeguarding Lead, Compliance Officer, SEND Lead, Pedagogy Lead), the people on the club, club business insurance and its limits, and a Students line with the number of named and open allocation students, each opening the right register filtered to that club. The small ? beside Students explains that club assignment is administrative only.

The default club

When you have more than one club, one is the default. It is where new students go unless you choose otherwise, and it leads the Club Colours, RegulationReady and licence views. It starts as your first club record. A ribbon on the default club's card says "Default club" and why; every other card has "Make this the default club". The same setting is folded away at the foot of the page.

Adding a club record

"Add another club record" at the foot of the page. If your club sits under a management account (or another lead), you can only add clubs if that account has switched on downstream club creation in its control panel; otherwise a note names the account to ask.

Club assignment is administrative

Assigning people or students to a club is only about where licences are overseen from. BMABA licences, instructor membership and insurance are national: cover applies across every BMABA licensed club, class and setting, so an instructor or student placed under one of your clubs is still covered at another club of yours, or at any other BMABA club worldwide, excluding the USA and Canada.

RegulationReady

Your club's governance score and the registers behind it. The score shows as a percentage and a tier (in progress, bronze, silver, gold), with what is missing and what to fix. Where a register needs something set on another page, the Hub says which page. If you have several clubs, choose the club with the pills at the top; the dashboard's RegulationReady label opens the right club directly.

Club Colours

The School of Excellence mark and the Safeguarding Code in Martial Arts, included with membership. The page shows the licence for the selected club: its number, when it was issued and when it runs to. From here you can activate Club Colours where you are eligible, download your licence as a PDF, and download the marks (trust mark, RegulationReady and licence badges) as PNGs for your website and print. Every download is for the club you have selected.

If your licence is suspended or has expired, a banner appears on every page. It can be closed: suspended returns after three days, expired after twenty eight. A grace period banner cannot be closed, because it is a countdown with a deadline.

Instructors

Everybody registered under you as an instructor: their membership state, renewal date, cover, and the club they are designated to. From each person's card you can manage their record, renew their membership, send a password reset, move them between your clubs, make them a lead instructor of part of your club, or move them to affiliate.

What making somebody a lead instructor does

A collapsible explainer on the page covers it: they get their own account controls and can see the people registered under them; you keep everything, including their membership; it does not hand over your club or make a second one; and it can be undone.

Registering an instructor

"Register instructor" creates the record, allocates a membership number that is unique across every BMABA register, creates the MyBMABA login and emails them a link to choose a password.

Assistant instructors

The same register for assistant instructors, with their own membership, checks and documents. From here they can be upgraded to instructor when they are ready, and their Instructor Training Pathway is linked. Password resets are here too.

Volunteers

Volunteers registered to your club, with their membership, checks and documents, and the same password reset and management controls.

Students: named students

Students licensed individually, each for a full year from the date their licence is issued.

The register

Cards or a table, with search, filters for status, age (under 18 or over), and, where you have more than one club, a club filter. Each row shows the student, their STU licence number, and a flag tag for the club they are assigned to. Tick students to use the bulk bar: renew, archive, or Move to club.

Named active, named total, open active and open expired. "Recount" asks the CRM again if a figure looks stale.

Registering a student

"Register a student" takes their details, the cover tier and the club. The club is preselected with your default club and can be changed. Assigning a club is administrative; the licence is national.

Buying registrations

"Buy registrations" adds to your allowance, which is shown in the wallet on the page. The tiers, their liability limits and personal accident options are listed there.

Temporary cover

Free 28 day trial cover for a student trying your club before they join. "Temp cover" beside Buy registrations takes their name, date of birth and the date cover starts, and shows the date it ends. For those 28 days the student has £1,000,000 student public liability cover under your instructor policy. It is not a licence and cannot be extended: when a trial student joins, register them as a named student or into an open allocation. The amber panel above the register lists temporary cover, live by default with a link to show expired.

Club Manager linking

If you use Club Manager, the panel on this page links your named students to it so licence numbers and dates are written across. Link a handful first and check they landed as expected, then link the rest. Nothing is permanent and unlinking deletes nothing. If you run more than one Club Manager, choose which one in the panel; the choice is remembered.

New records take a few minutes

After you register, add or renew, the CRM takes up to five minutes to show a new record. The Hub says so and keeps checking on its own; you can carry on meanwhile.

Students: open allocations

Flexible licences that run to your renewal date. Put a name in one when a student joins, and change it when somebody else takes their place.

Using allocations

Buy allocations, activate them into slots, and fill each slot with a student's name, date of birth, club reference and any medical note. Spare slots show as such. Expired allocations can be brought back or archived. Bulk renewals work by ticking. Every row carries the club tag and the club filter applies, exactly as on the named register.

Open allocation tools

The toolkit (marked Beta) reads your Club Manager capacity and student count alongside your allocations and shows them together, with switches you can turn on and off. Nothing here changes a licence. If you run more than one Club Manager, pick which to show.

Creating or renewing many at once

Roughly a second for every four licences. The button shows a spinner and the count, and a note explains that the work is done on the server, so you do not have to stay on the page.

Grade register (LSGR)

The Lifetime Student Grade Register: the national register of martial arts grades, completely free and included with membership. Every grade you award is recorded against the student for life under an LSGR number that anybody can check at bmaba.org.uk/grade-check. It follows the student across clubs, styles and years.

The register

Every grade you have recorded, as a table or cards, with the student's name and STU licence number, club, grade, style, where, examiner and panel, date and LSGR number. Filter by club and by style, and choose between Highest grade per student (one row per student per style, so a 5th Dan in one discipline and a coloured belt in another are two rows, but the dans behind the 5th are hidden) and Every grade recorded. By grade groups students under their current grade in national order. Download CSV exports the lot.

Recording a grade

"Record a new grade" takes the student (any active named student across your clubs), the grade and style from the national lists, the date, where it was awarded, the lead examiner and any additional examiners, and notes. From a student's grade card, "Log a new grade" opens the form with the student, style and the predicted next grade already set.

Opening a grade shows that student's lineage in that style as a timeline, with the licence number and club, a "Verify" link to the public grade check, and Certificate, which offers the seven official styles. The two dan grade styles are locked unless the grade is a dan or degree. Certificates are produced from the official template and open as a PDF.

Grade records are permanent

Once recorded, a grade cannot be edited or removed, by you or by us from the Hub. That is the point of the register. If something is wrong or missing, "Report an error or omission" on the card opens a chat with the record already named, and our office corrects it with a note on the record.

Grade colours

"Grade colours and order" lets each club set how its belts look: for each grade family on the national list (Kyu, Kup, Gup, Dan and so on), the belt colour and up to two stripes for every grade. Names and order are national and cannot be changed. Each club keeps its own, so a red belt at one club and a red belt with a white stripe at another both show as they really are.

DBS and PVG

Buy and track DBS checks (England and Wales), PVG (Scotland) and Access NI, for yourself and, if you are a lead or management account, for your team.

The stages

Each check moves through three stages: Being set up (we are creating the application), With you (the application is open and waiting for you to complete it and get your ID checked; a lead sees this as "With the applicant" for other people), and With the DBS (countersigned and with the DBS; certificates usually land within two to four weeks). If a certificate should have arrived, the stage reads "Certificate due" with a prompt to upload it or tell us. Click a stage for the timeline and what to do next.

Buying a check

Any instructor, assistant or volunteer can buy their own. A lead can buy for anyone on their team. The page names the agency doing the check and shows what it costs and why.

The Update Service

Where somebody could join the DBS Update Service, a reminder appears; it can be dismissed per person.

Instructor insurance

Every instructor policy on your organisation: open allocation instructor insurance, which is shared across your team to your renewal date, and named cover, which belongs to one instructor. The page shows what is held, who is covered, what is expiring, and any gaps.

Extending cover

Named cover renews with the instructor. Renew their membership on the Instructors page and the insurance follows.

Temporary cover switch

When a named instructor is away on holiday or off sick, their cover can be switched to another registered member of your organisation for a short spell so classes carry on insured. It is a switch, not a second policy: while it runs, the named instructor is not covered. The policy must be active named cover held with us; the person taking it must be actively registered, affiliates included; and the allowance is 28 days and 6 occasions per policy per membership year, no more than 2 holidays of up to 10 days each and 4 sickness spells of a few days. Anything beyond that needs agreeing with us first. Choose the policy, the person, holiday or sickness, and the dates. The switch is logged against the policy, noted on the record in the CRM, both people are emailed, the person who logged it gets a confirmation, and the policy shows the switch (live or upcoming) on this page.

Certificates and manifests

Download an insurance certificate for a named policy or a manifest of everybody covered.

Live blade cover

Cover for training and teaching with live blades, which sits on a named instructor policy. The page shows who holds it, which weapons are endorsed, and lets you add or change cover and download the live blade licence.

Control panel

For the account at the very top of your organisation: a lead instructor with nobody above them, or a management account. A lead whose club sits under a management account sees a locked screen explaining why, with a button to log out and switch account, and a "Message us" if they are stuck.

Allocations

Move allowances between people on your team by clicking a holding pill: membership tiers, assistant and volunteer registrations, named student registrations in each tier, and unassigned open allocation licences. Both records get a note in the CRM naming who asked.

Course access

See which CPD courses each person is entitled to under their membership tier, and buy access where it is not included. Affiliates cannot be given CPD access.

Let my lead instructors create club records

A switch for anyone at the top of their organisation. Off (the default) means only you create club records, from your club dashboard, and hand them down; on means each lead instructor registered beneath you can create their own club records and run their own admin under you. You see everything either way.

Set up a management account

Offered to a lead instructor at the top of their organisation. It creates a management account above your lead instructor account, with full 360 degree visibility and control over everything beneath it. Nothing moves: your instructors, students, clubs and allowances stay exactly where they are, and the management account sees them through the hierarchy. Give it a name (usually the organisation's, for example WSAM Kickboxing) and an email that is not already on a MyBMABA login or a membership record. Before creating it you confirm what you are handing over: full authority, with BMABA taking instruction from that account on billing, renewals and structure; visibility of all organisational data; and the power to promote, demote and move instructors and change club structures. You are responsible for giving access only to people you trust, we recommend you keep access yourself, and any suspected compromise must be reported to us immediately. The new account gets an email to choose its password; you get a confirmation. Once it exists, the control panel moves to it.

Things that appear on every page

Report a bug

In the footer of every page. It asks for the issue in a line and what happened, and attaches the page, its address, your name, email and account reference for you. It goes straight to our web services team. Major bugs earn every reporter a £5 thank you; suggestions are welcome but belong on the community roadmap.

Banners

Some notices appear at the top of every page while they apply: a suspended or expired Club Colours licence, a management account above you, and a temporary cover switch you are part of. Each can be closed and says when it will return.

Frequently asked questions

How do I download my insurance certificate?

Open My membership. Your insurance and its certificate are under Your insurance; download the certificate from there. Leads can also download a named policy's certificate, or a manifest of everybody covered, from the Instructor insurance page.

How do I download proof of membership?

My membership, under Your documents. Your membership certificate and marks are there to download.

How do I manage my club?

Club dashboard in the left hand menu. Each club has a card: edit its details and address, set the designated roles, see the people on it, its cover, its students, and its RegulationReady and Club Colours standing. Instructors, students, insurance and checks each have their own page under it.

How do I add a second club?

Club dashboard, then "Add another club record" at the foot of the page. If your club sits under a management account, that account has to switch on downstream club creation first, or create the club for you.

How do I change which club is my default?

Club dashboard: click "Make this the default club" on the club you want. The default is where new students go and which club leads your Club Colours and RegulationReady views.

How do I renew somebody's membership?

How do I move an instructor or student to another of my clubs?

Instructors: Manage this person and choose the club. Students: tick them on the named or open register and use "Move to club" in the bulk bar. Club assignment is administrative; cover is national.

How do I register a named student?

Named students, then "Register a student". Choose the cover tier and the club. If you have no registrations left, "Buy registrations" first.

How do I buy student licences?

Named students: "Buy registrations" for named licences. Open students: "Buy allocations" for flexible slots that run to your renewal date.

How do I put a trial student on cover?

Named students, "Temp cover". Enter their name, date of birth and start date. They have 28 days of free cover with £1,000,000 student public liability. It does not convert; register them properly if they join.

How do I renew a lot of students at once?

On either register, tick the students (or "Select all shown") and use Renew in the bulk bar. Large batches take about a second per four licences and carry on on the server if you leave the page.

How do I record a grade?

Grade register, "Record a new grade". Choose the student, grade, style, date, venue and examiners. From a student's grade card, "Log a new grade" prefills the student, style and the predicted next grade.

How do I produce a grading certificate?

Grade register, open the grade, "Certificate", pick a style. Dan grade styles are only available for dan and degree grades. The PDF opens in a new tab.

A grade was recorded wrongly. How do I change it?

Grade records are permanent. Open the grade and use "Report an error or omission"; our office corrects it with a note on the record.

How do I set my club's belt colours?

Grade register, "Grade colours and order". Choose the club and the grade family, set the colour and any stripes for each grade, and save. Each club keeps its own.

How do I check somebody's grade?

Anyone can check a grade at bmaba.org.uk/grade-check with the LSGR number. Your own register shows every grade you have recorded.

How do I buy a DBS check?

DBS and PVG. Instructors, assistants and volunteers can buy their own; a lead can buy for anyone on the team. Scotland uses PVG and Northern Ireland Access NI, both from the same page.

My DBS check says "With you". What do I do?

The application is open and waiting for you to complete it and have your ID checked. Open DBS and PVG and click the stage for the steps. Once countersigned it reads "With the DBS" and the certificate usually arrives within two to four weeks.

How do I switch an instructor's insurance to someone else while they are away?

Instructor insurance, "Temporary cover switch". Choose the policy, who is taking it, holiday or sickness, and the dates. The allowance is 28 days and 6 occasions a year per policy; anything more needs agreeing with us first.

How do I extend somebody's named cover?

Renew their membership on the Instructors page; the insurance follows it.

How do I download my Club Colours licence?

Club Colours, choose the club, "Download your licence". The marks for your website are on the same page.

How do I improve my RegulationReady score?

RegulationReady lists what is missing for each register and links to where to fix it. Most items are set on the Club dashboard or evidenced on My compliance.

How do I move allowances between my team?

Control panel, Allocations. Click the holding pill on the person who has them and choose who to move them to. Open allocation licences and named student registrations in each tier can all be moved.

How do I give somebody access to a CPD course?

Control panel, Course access. It shows what each person's tier already includes and lets you buy access where it does not.

What is a management account and how do I set one up?

A separate login for the organisation, above your lead instructor account, with full visibility and control over everything beneath it. A lead at the top of their organisation sets one up from the Control panel; nothing moves, and the control panel then lives on that account.

I cannot see people or records I expect to see

If your club sits under a management account, they may be held there. Log out and log back in with the management login.

I registered someone and they have not appeared yet

The CRM takes up to five minutes to show a new record. The page says so and keeps checking; you can carry on meanwhile.

Does putting somebody on one club stop them teaching or training at another?

No. Licences, membership and insurance are national across every BMABA licensed club, class and setting, worldwide excluding the USA and Canada. The club is only where their record is overseen from.

How do I report a problem with the Hub?
