Cancelling Instructors, Assistants and Volunteers

As a lead instructor or club owner, you are able to remove any member of your team at any point using the Remove Team Member button in MyBMABA or by requesting this to be done through our team. This function gives you full control over who remains linked to your account, and the action can be taken at any time. This is especially helpful where, for example, you may wish to remove somebody from your records to make obtaining a licencing feature like Club Colours a possibility.

That said, before proceeding with a cancellation, it is very important to understand the implications and responsibilities involved.

Safeguarding and Conduct Concerns

If the reason for removing an instructor, assistant, or volunteer relates to safeguarding, professional conduct, or disciplinary matters, you must not remove the individual without first contacting BMABA’s Safeguarding Unit.

This ensures that appropriate safeguarding procedures are followed and that no risks are left unmanaged. Failing to report such issues before removing a team member could breach safeguarding responsibilities.

Forfeiture of Membership and Insurance

When you remove someone from your account, it is treated as a forfeiture of membership, not a reassignment. This means:

  • You will not automatically receive a replacement instructor, assistant, or volunteer.

  • Any remaining term of the cancelled individual’s membership or insurance will be lost.

  • The cancelled user will immediately lose access to MyBMABA and other BMABA Services

  • This applies because:

    • Insurance is considered “served” from the point of issue, as the premium is paid to the insurer.

    • Membership is deemed “served” once documentation is issued and services such as training courses or digital content have been accessed.

As such, clubs cannot “recycle” spaces or swap them for fresh members. Please think carefully before cancelling a team member. There are no refunds available mid-term. Whilst we will always do what we can to be flexible and to accommodate unique situations, it is important clubs remember this standard position.

Effect on the Cancelled Member

When cancelling a team member, you are required to declare that you hold no adverse information about them. This declaration ensures:

  • If eligible, the individual may re-join BMABA in their own right, independently of your club.

  • Our first-past-the-post policy (which is a control to prevent an instructor leaving their current club and setting up on their own, thus creating a conflict of interest for BMABA in terms of fair governance) only applies while the instructor remains actively linked to your account. Once cancelled, and therefore disconnected from your account, they may freely re-apply.
