Accessing the App

You’ll need to make sure you’ve ordered your application first. It’s free, and can be done from here. Activate is not immediate so you will need to await your order completing. Once it does, you’ll receive your BMABA order completion email and you will receive a second email from the budgeting app system with a temporary password. You should check your junk folder for this, as it can sometimes slip there by accident. This email can take up to 10 minutes to arrive after the team add you and will come from [email protected] so please be patient awaiting it to arrive. The email will come from BMABA Budget Tool with the subject Welcome to BMABA Budget Tool!

Follow the link and login using the details provided. If the button doesn’t work, the URL needed is https://budget.bmaba.org.uk.

Getting Started

The app should be very straight forward. When you first login, you’ll want to start by going to the cog icon at the top right of the screen. From there, click and go to Settings.

It’s important to set your currency and timezone. Here’s where it’s located on a phone. It’s the same place on a desktop. You can type the currency and timezone by country if that’s faster than scrolling. Then save your profile. You can complete the other details such as profile, address etc too if you wish.

When you have confirmation of the system saving, go back to the top left sub menu and go to CATEGORIES.

This is super important!

Use the ‘Add Category’ button to create income and expenditure categories. The example below outlines some of what this could be. You can be as fine grain or as broad as you want. For example, you might just put ‘hall hire’ as an expense, or you could break down by specific venue – such as ‘Normingham School Hire’, ‘East Forting School Hire’ and so on. This is what’s going to give you visibility on your performance, so take some time to get this as right as you can now. You can add to it or remove categories as required if you forget something.

Now you’ve set categories, you may want to go to the security tab from the submenu (in our earlier screenshot) and change your password – this is optional.

You’re now ready to go!

Using the App

Start by going to BUDGET. On the budgeting screen, go to ‘ADJUST‘.

On the next screen, set your budgets. You can change and update this at any point, so just put a starting budget together to begin with.

  1. The first box (top left) is how much your total monthly costs are for running your club.

  2. The second box (bottom left) is how much, if any, you’d like to save. We would recommend trying to set aside a minimum of 5% of your club’s monthly income, but anything up to 15% is desirable.

  3. The third box (top right) is automatically generated so you don’t need to touch this.

  4. The fourth box (bottom right) is how much income you hope to bring in every month. This is from everything – class fees, membership, merchandise, any donations and so on.

When you’re done, click ‘Distribute’.

Toggle the bars to distribute your income. This is the bottom right box from the prior screen – how much you plan to spend – split among the categories you created earlier. The budgeting tool will be red if you’re over-stretched and green if you’re within budget. You can save it over-stretched if it’s genuine and needed.

Now your budget is set, it’s just a case of logging income and outgoings from the menu at the top (EXPENDITURE / INCOME).

Start by clicking either ‘add income’ or ‘add expenditure’ (depending on what screen you’re on – they’re both a mirror of one another).

Log a name for the transaction, the amount, the category and date. If you want to setup accounts to log which bank accounts (such as cash, Natwest Current Account, Lloyds Personal Account etc) are being used you can do this from the dashboard – but it’s optional and most clubs won’t need to.

As you build up income and expenditure logs you’ll see this on the relevant screens, with your budget on the right to show much of your target you’ve raised or spent. You can export to excel or PDF if needed. You can either provide a few monthly figures (such as all membership fees together once per month, all merchandise sales and so on) or you can add multiple detailed entries – such as t-shirt sales, glove sales, Jujitsu student fees, Kung Fu student fees. The more detail you add in expenditure and income, the better idea you’ll have of how you’re doing.

That’s it!

The app is doing it’s thing. Go to the DASHBOARD (on the main menu) and the BUDGET (on the main menu) links to see how your overall club progress is coming along.

Troubleshooting

If you struggle to login, there is a password reset option on the login box. If you need any further help please raise a support ticket and we will be happy to assist.
